Executive Assistant
Are you an experienced Executive Assistant looking for an exciting business to join and support?
At Nonacus Ltd we are seeking an Executive Assistant to the Directors, to act as the point of contact among executives, employees, clients and other external partners. The Executive Assistant’s responsibilities include managing calendars, making travel arrangements and preparing expense reports. Ultimately, you will contribute to the efficiency of our business by providing personalised and timely support to executive members.

As an experienced Executive / Personal Assistant you will:
Key responsibilities:
- Liaising closely with key stakeholders and dealing with sensitive and confidential information.
- Organise and schedule meetings as required.
- Maintain electronic filing system, ensuring processes and software are up to date and in working order.
- Manage projects and follow-up with team members.
- Aid other staff members and clients where required.
- Answering calls, taking accurate contact information and messages
- Preparing/clearing meeting rooms and providing / organising refreshments.
- Extensive diary and email management, successfully coordinating the workload and managing priorities.
- Providing diverse secretarial and administrative support to the CEO/CSO
- Preparation and minute taking / distribution for all senior management team meetings.
- Format information for internal and external communication – memos, emails, presentations, reports, meetings.
- Coordinating various supplier and business contracts, acting as the main point of contact for external clients.
- Fielding email / telephone enquiries from various stakeholders, both internally and externally.
- Book business travel arrangements, including flights, transportation, and lodgings for the CEO/CSO, senior management, and other staff members.
- Managing information flow in a timely and accurate manner
- Managing executives’ calendars and set up meetings.
- Expense submissions via the expense portal for CEO/CSO
- Manage the premises front desk/reception welcoming visitors
Job qualifications:
You will be an experienced Executive / Personal Assistant with meticulous attention to detail, organisational and time management skills. Resourceful, innovative, and proactive in your approach to support executive leaders, you will have good communication skills to record and share information effectively.
As you will be handling personal and business sensitive information discretion and confidentiality will be natural to you, along with excellent knowledge of MS Office and office gadgets.
